Essential Functions and Responsibilities

SUMMARY

The Administrative Assistant provides general office and employee support, assisting in daily office needs and managing general administrative duties. The Administrative Assistant assists in the day-to-day operations of the Project Coordinators, Regional Maintenance Auditors, and Roving Maintenance Technicians.

 

Review all incoming reports from field operations, assign to appropriate drive in Company database.


Review all incoming photographic correspondence, assign to appropriate drives in Company database.*


Assist with administration of Netvendor compliance, expansion of vendor base of outlying areas, recommend vendors to site staff as required.*


Review all incoming field operations mileage and expense requests.*


Proofread and edit Maintenance Manuals, protocols and procedures, safety manuals, and/or other reference material as assigned.*


Develop and maintain filing systems as directed. *


Perform other clerical duties such as photocopying, faxing, filing, collating, etc. as assigned. *


Prepare agendas and schedules for meetings. Schedule and coordinate meetings, appointments, and travel arrangements for managers, traveling maintenance teams, and RMAs. *


Provide back-up with answering telephones and directing the caller to the appropriate extension.


Serve as back-up to greet, sign in, and direct visitors as needed.


Perform other duties as assigned.

Valid Driver's License is required.

 

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to two (1-2) years administrative experience and/or training; or equivalent combination of education and experience.
