The Receptionist provides overall customer service to our vendors, stakeholders, employees and guests. This position provides administrative support in assisting daily office needs and day to day operations. This individual must have high energy, flexibility, be detail oriented and committed to providing excellent service.
1. Answer telephones and direct the caller to the appropriate extension, transferring calls as appropriate. *
2. Uphold customer services standards by greeting and signing in visitors in a positive and professional manner. *
3. Maintain the order and cleanliness of all conference rooms, training room, mail rooms, employee breakroom, and all vacant offices. *
4. Responsible for supporting mail distribution, faxes and flow of correspondence.*
5. Order, repurpose, requisition, restock, and inventory office supplies and equipment for employee use. *
6. Maintain contact database. Coordinate and maintain records for telephones and parking. Coordinate requests for information and data such as client, vendor, and property information etc..*
7. Support corporate functions by providing meals and refreshments and organize meetings as requested. *
8. Work with vendors and coordinate the maintenance of office equipment. *
9. Develop and maintain filing systems, as directed.
10. Perform other administrative duties such as photocopying, faxing, filing, collating, ordering name tags, apparel etc. as assigned. *
11. Schedule and coordinate meetings assist with projects, appointments, and travel arrangements for Executives. *
12. Prepare and modify documents including correspondence, reports, forms, drafts, memos, and emails.
13. Support occupancy reporting process, as needed. *
14. Coordinate the maintenance of corporate office and equipment
15. Support site move out process as needed.
16. Regular and reliable attendance during scheduled hours*

Education and/or Experience
High school diploma or general education degree (GED); or one to two (1-2) years administrative experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Reasoning Ability
Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.
Certifications, Licenses, Registrations
Valid Driver’s License
Other Qualifications
Ability to operate basic office equipment such as telephones, typewriters, 10 key, photocopier, and fax machine.
