Essential Functions and Responsibilities

The Lease Up Manager is responsible for the successful planning, coordination and completion of all lease-up projects. This includes assuming all functions of the lease up process, training of all lease up staff, and is responsible for the direct oversight of all temp or permeant leasing and/or support staff for projects in their lease-up and stabilization process. An ideal candidate will be an expert in communication, project management and motivation of staff.This manager will have the ability to effectively report on simultaneous projects from inception to completion and be a self-directed and driven.

 

Essential Duties and Responsibilities:

                                                                                                                                                     

1. Responsible for managing and coordinating lease-up projects from beginning to end.

 

2. Responsible for assisting with development and update of policies, procedures, processes, and forms relating to the lease up.

 

3. Responsible for overseeing the lease up team and communicating with ownership groups and interior stakeholders on the progress of the lease-up.

 

4. Perform various outreach activities throughout the states where the lease-up work is taking place.

 

5. Develop and maintain close relationships with resources and advocacy agencies in the industry.

 

6. Communicate effectively and frequently as the Project Lead with clients, developers, investors, internal department directors, and executives.

 

7. Provide a variety of reports to internal and external stakeholders.

 

8. Develop and maintain the lease-up budget for each project including invoicing, billing, tracking payments, and allocating funds.

 

9. Develop positive business relationships with primary vendors, resources and clients through regular interactions via industry events, sponsorships, or phone and email communications.*

 

10. Coordinate the production of a wide range of marketing communications.*

 

11. Show apartments, accept applications, and screen applicants (verifying and certifying each resident’s income at initial) to determine eligibility in accordance with company policies and procedures and applicable regulations.

 

12. Review all rental applications for criminal and credit background history and lease forms for accuracy and compliance with resident policy; check all leases for accuracy and completion.

 

13. Complete resident lease signing and move-in sheet with resident as needed.

 

14. Understand rental agreement and residency policies and be able to explain them to residents.

 

15. Maintain waiting list files of eligible applicants, files of removed/rejected applicants and all other details tracked from beginning to end of lease-up period.

 

16. Collect rents, ensure proper accounting of monies collected, and make deposits in a timely manner.

 

17. Maintain accurate accounting records.

 

18. Report and approve timecards for accurate payroll information to the Payroll Department in a timely manner.

 

19. Maintain property files and records.

 

20. Prepare daily, weekly, and monthly reports for review.

 

21. Supervise the handling of any emergency that may arise on-site.

 

22. Communicate all concerns and make recommendations to supervisor in a reasonable timeframe.

 

23. Provide satisfactory documentation to ensure fair and timely resolution of disputes or issues with residents, employees, or others.

 

24. Demonstrate leadership and promote professionalism through appearance, attitude, and communication skills.

 

25. Ensure compliance with applicable federal and state regulations associated with business operations.

Qualifications and Physical Demands

Supervisory Responsibilities

Directly supervise 2-5 employees.  Carry out supervisory responsibilities in accordance with CMI policies, procedures and applicable laws.

 

Travel Requirements

Moderate travel is required depending on project location and need.

 

Qualifications

Education and/or Education

Bachelor's degree (B.A./B.S.) from four-year college or university preferred.  Experience with LIHTC required. Prior experience with lease-ups required. Experience with project management, HUD, RD, or Farmworker funding programs in a lease-up setting preferred. Strong communication skills, 2 years minimum in management and 3-5 years of multifamily housing industry experience required.

 

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Bilingual strongly preferred.

 

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

Reasoning Ability

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

Certificates, Licenses, and Registrations

Valid Driver’s License and vehicle insurance is required.

 

Other Qualifications

Ability to operate basic office equipment such as telephones, 10 key, scanner/ photocopier, and fax machine. Microsoft Office Suite proficiency with significant experience in Excel, Word, and Outlook Calendaring.
